Your Pipeline is a board. Every lead is a card; every column is a stage. Move a card to the right as the job progresses — that's most of the job.

Jump between Pipeline, Leads, Calendar, Customers, Tasks, Reviews, Reports and Settings.

Each column is a pipeline stage. The dot and the count show the stage and how many leads sit in it.

One customer job — name, what they need, the source it came from, the time, and a stage badge.

Every call follows the same start, then splits into one of two paths depending on what the caller needs.

A few minutes after each call keeps every automation firing at the right time. Four places to check, in order.

Conversations
First thing every morning
1Sidebar → Conversations (speech-bubble icon)
2Each thread shows the full transcript of what Jessica and the caller said
3If a transfer was missed — the caller's name and number are here. Call back within 5 minutes
4Any texts from callers — reply in the box at the bottom → Send
Your reply goes as SMS from your business number, not your personal cell.
Calendar
Where Jessica's bookings appear
1Sidebar → Calendars (calendar icon)
2Each appointment shows the caller's name, the time they picked, and their contact info
3The confirmation SMS was already sent to the caller — you don't need to confirm again
4Day before: call or text the client to confirm you're prepared for the meeting
Need to change your available booking hours? Contact your Innpage account manager — it affects what time slots Jessica can offer callers.
Leads
Move deals after every interaction
1Sidebar → Leads (grid icon). Each card = one customer job
2Drag the card to the right column — or open the card and change the stage at the top
3After delivering a quote → move to Quoted
4When they say yes → move to Booked immediately (stops follow-ups)
5Work done → move to Completed (triggers review request automatically)
Two minutes to update the stage = the system follows up for you. Skip it and automations fire at the wrong time.
Customers
Look up any customer
1Sidebar → Customers (person icon)
2Search by name, phone, or email — partial matches work
3Click the name → full call transcript, texts, appointments, and pipeline stage in one place
4Add a note after a call: Timeline → + Add note → type → Save
5Fix a name or email: click the pencil icon next to the field → edit → Save

When Jessica transfers a call to you

Emergencies get a live handoff. Here's how to catch it — or recover gracefully if you miss it.

This is a live handoff — not a voicemail.

The caller is still on the line, told to hold while Jessica connects them to you. Jessica flagged this as an emergency and is keeping them on hold while your phone rings. They expect a human to pick up — immediately.

When you pick up
Caller is on hold — answer fast
1Answer the call — you're connected to the caller immediately. No introduction from Jessica
2Introduce yourself right away:"Hi, this is [your name] at [business name]. I understand you were speaking with our AI assistant — how can I help you today?"
3Take over the conversation naturally — you have their context from what Jessica discussed
4After the call → update their pipeline stage and add a note in Customers
Check Conversations for the transcript if you need to review what Jessica learned.
When you miss the transfer
Act within 5 minutes
1Jessica tells the caller you're unavailable and takes their name and number
2Open Conversations — their thread is at the top with the transcript and contact info
3Call them back within 5 minutes:"Hi, I just saw I missed a call from our AI assistant's line — I wanted to get back to you right away. This is [your name] at [business name]."
4After the call → update their pipeline stage and add a note in Customers
The longer you wait, the more likely they've already called the next business. 5 minutes is the window.
After a booking (Path A)
Jessica booked — what you do next
1Check Calendar — the appointment is there with the caller's name and contact info
2The caller already received a confirmation SMS — you don't need to send another
3Read the Conversations transcript to understand what they need
4Their card is in Leads under New Inquiry — move to Quoted after you deliver the estimate
5Day before the appointment — call or text to confirm you're both ready
After any call — update the CRM

5Customers → their record → + Add note: one sentence on what was discussed and decided
